Wargame Trader Commission Program Terms and Conditions
1. Scope of Work

Services Offered
- The Artist may provide assembly, painting, and/or basing services, in accordance with the categories defined on Wargame Trader.

The Artist must clearly declare which services they offer and maintain that offering.

Quality Standards
- Work must meet or exceed the standards shown in the Artist’s portfolio.
- “Tabletop” and “Display” quality must be defined by the Artist in their profile, consistent with how they price work and present examples.

Quality must also meet or exceed Wargame Trader's standards for Tabletop” and “Display” quality.

Original Work
- All commissioned work must be done by the Artist (or declared team) and must be the Artist’s own (no mis-representing another’s work).
2. Pricing & Payment

- All payments must go through Wargame Trader’s approved process. A Wargame Trader Approved Artist should first agree on the terms for the commission directly with the buyer, then list a Custom Commission Deposit product within the Wargame Trader Seller Portal. The listing should match the agreed-upon pricing, reference image, and custom description. The Artist is responsible for sending the product link for the newly listed commission product to the buyer directly. Once the buyer has paid the deposit, the Artist may begin work. The Artist will then create a Custom Commission Final Payment product through the Wargame Trader seller portal when the work is complete, and ensure that payment is submitted in full before shipping the product to the buyer. All sales of commissions initiated through Wargame Trader must go through this process. Wargame Trader charges a 5% fee for every commission.
- The Artists may not require off-platform payments from Wargame Trader clients for orders placed via the platform.
- If a commission request request originates outside of Wargame Trader, an artist can handle the request without going through the Wargame Trader platform, but if the request originates through Wargame Trader it must go through the Wargame Trader platform.
- Deposits / Milestones

We require a deposit before beginning work. The terms for deposit (percentage, refundable / non-refundable) must be disclosed to the buyer in writing.
Final payment is due before shipping or delivery of the completed work, unless otherwise agreed via Wargame Trader.

- Refunds

- If the buyer cancels before work begins, the deposit (or full payment) should be refunded in full, unless different terms are explicitly agreed.
- If cancellation happens after work has started, the Artist and Wargame Trader will jointly assess how much of the work is complete and what portion of payment is refunded, based on “work-in-progress” and agreed scope. Partial refunds will be done through the Wargame Trader seller portal.
3. Turnaround & Communication

- Delays

If there is a delay of more than 7 business days from the estimated date, the Artist must inform both the buyer and Wargame Trader, and provide a revised timeline.

- Communication

- The Artist agrees to respond to buyer messages within 2 business days (or another defined standard).
- For work-in-progress (WIP) updates: The Artist must send photos / updates at agreed checkpoints, especially for multi-figure orders, to ensure buyer satisfaction. At a minimum, before and after images of each figure in the commission are a requirement.
- All communications must go through the the official Wargame Trader channels. Communicating directly with a buyer is prohibited.
4. Shipping & Delivery

- Shipping costs of any models to be painted or otherwise modified by the Artist as part of a commission are made on the buyer's expense, unless otherwise agreed upon by the Artist.

Completed models must be packaged securely and safely to minimize damage during shipping.

- Shipping Method

- Unless otherwise approved, the Artist must use tracked shipping, including shipping insurance, through the Wargame Trader Seller Portal for all outgoing packages.

The Artist must provide tracking information to the buyer and to Wargame Trader once shipped.
- Pre-shipping Approval

- The Artist should send final photos of the completed work to the buyer for approval before shipping (unless buyer waives this).
5. Revisions & Quality Assurance

- Minor corrections (due to artist error) are included at no extra charge.

If a buyer requests changes outside the original scope (e.g., “add basing after painting”), those are subject to new / additional pricing and must be agreed in writing.
- Unsatisfactory Work

- If a buyer believes the work is not consistent with the agreed quality (or portfolio sample), Wargame Trader may mediate.

Possible resolutions include: partial refund, repainting, or redo. The specific remedy depends on how far the work deviates and the effort required.
- Damage in Transit

- If a shipped piece is damaged during delivery (confirmed via photos), the Artist and Wargame Trader are not liable for these damages.
6. Intellectual Property / Image Rights

The Artist grants Wargame Trader permission to use photos (work-in-progress and completed) for marketing and content on the Wargame Trader Website, as long as the Artist is credited.

- Ownership

- The Artist retains ownership of the physical work (unless otherwise agreed).

If the buyer wants to reproduce, photograph, or use the minis for commercial purposes, those terms must be agreed separately (outside this T&C) and documented.
- Confidentiality

- If a buyer requests non-disclosure or doesn’t want their commission publicly displayed, the Artist must respect that request (if agreed upon in writing).
7. Conduct & Compliance
- Professional Behavior

- The Artist must act professionally and respectfully in communications.

No harassment, misrepresentation, or abusive behavior is allowed.

The Artist must not attempt to circumvent Wargame Trader (e.g., by asking clients to pay off-platform, or directing them to other channels to avoid platform fees).

- Termination for Cause

- Wargame Trader may suspend or remove an Artist from the program if there are repeated quality issues, non-responsiveness, or proven violations of these terms.
- In case of removal, pending orders may be canceled or reassigned (with refunds or artist compensation as appropriate).
8. Dispute Resolution

Because Wargame Trader is not directly involved with transactions between buyers and sellers, you agree to release Wargame Trader from all claims, demands and damages related to transaction disputes. A buyer may contact an Artist regarding questions or disputes around that purchase. If a dispute arises, buyers and Artists are expected to deal with each other to come to a resolution. At times, Wargame Trader Customer Service may step in to mediate disputes between buyers and Artists on our platform.

Because Wargame Trader is not directly involved with transactions between buyers and sellers, you agree to release Wargame Trader from all claims, demands and damages related to transaction disputes. A buyer may contact an Artist regarding questions or disputes around that purchase. If a dispute arises, buyers and Artists are expected to deal with each other to come to a resolution. At times, Wargame Trader Customer Service may step in to mediate disputes between buyers and Artists on our platform.

Refund / Remedial Actions
- During mediation, Wargame Trader Customer Service may apply full or partial refunds, or mandate requests for redoing or repairing a commission, to resolve disagreements. However, any and all refunds are at the discretion of Wargame Trader and any attempt to mediate does not impose any obligation or potential liability upon Wargame Trader.

Final Decisions
- In cases where resolution cannot be reached amicably, Wargame Trader reserves the right to make a final decision. This decision is binding for the commission in question, though it does not necessarily remove legal rights that either party may have under local law.
9. Agreement & Acknowledgement
- By joining Wargame Trader’s Commission Artist Program, you confirm you have read, understood, and agreed to these Terms & Conditions.

You accept that failure to comply with these terms may result in suspension or removal from the program, withholding of payments, or other remedies available to Wargame Trader.
